Members and roles

A member is a person who can sign in to the dashboard for your organization. Every member has one of two roles, admin or member, and the role decides who can change the organization’s structure: its name, its teams, and other people’s access. Members are separate from actors, which are the machines and agents that send telemetry. Inviting someone gives them a sign-in; it does not give them an ingest key.

Opening the Manage area

All member, team, actor and organization administration lives under Manage.

  1. Sign in to the dashboard at https://ui.scoutmonitoring.io.
  2. Open the organization menu (the organization name in the top bar).
  3. Select Manage.

The Manage area opens on Organization and has five tabs: Organization, Teams, Members, Actors & ingest keys and API keys. Every member sees all five tabs and can read every page. Controls for admin-only actions are hidden from members.

Roles apply only to managing the organization. Admins and members see the same telemetry in the dashboard, the API and MCP.

Nobody can change their own role or remove themselves. Your own row on the Members page carries a you badge and the hint “Change your own role from another admin’s account.” in place of the controls. This keeps an organization from losing its last admin through the Members page.

The person who creates an organization is its first admin. Everyone who joins through an invitation joins as a member; an admin can promote them afterwards.

The Members page

Manage → Members lists everyone who can sign in to the organization, plus addresses that have been invited but have not yet accepted. The card header shows the totals, for example “4 total · 1 admin · 2 invited”.

The All members table has two columns:

  • Email: the member’s sign-in address. Your own row shows a you badge.
  • Role: admin or member. A pending invitation shows an invite pending badge here instead of a role.

Admins see two buttons on every row except their own:

  • Make admin or Make member, depending on the member’s current role.
  • Remove.

Every member sees a Withdraw button on each pending invitation. See Inviting people for the invitation flow.

Changing a member’s role

You must be an admin.

  1. Open Manage → Members.
  2. On the member’s row, select Make admin to promote them, or Make member to demote them.

The change applies as soon as the page reloads, and a banner confirms it, for example “dana@example.com is now admin.” There is no confirmation step.

Removing a member

You must be an admin, and you cannot remove yourself.

  1. Open Manage → Members.
  2. On the member’s row, select Remove.

The banner confirms “email was removed from organization.” There is no confirmation step. Removing a member does all of the following at once:

  • They lose access to the Manage area immediately, and to the organization’s dashboard pages within about 30 seconds.
  • They are signed out of the dashboard on every device and browser. If they belong to other organizations, they sign in again and land in one of those.
  • Every API key they created in this organization is revoked, so scripts and MCP clients using those keys stop working. See API keys.
  • Any outstanding invitation to their address for this organization is cancelled, so they do not reappear as invite pending.

Removing a member does not change:

  • Actors and ingest keys. Actors belong to the organization, not to the person who created them, so their keys keep working. Every member can view every actor’s ingest key, so if the person had access to keys you want to retire, rotate or revoke them, or deactivate the actors, on Manage → Actors & ingest keys. See Actors.
  • Telemetry. Sessions and tool calls already recorded stay in the dashboard, attributed to the actor that sent them.

To bring a removed person back, invite them again.

Belonging to more than one organization

One sign-in can belong to several organizations, with a separate role in each. When you belong to more than one, the organization menu shows a Switch org section listing them; select one to switch. Everything in the dashboard and the Manage area applies to the organization you are currently in.

When an action is refused

If you reach an action you are not allowed to perform, for example by following an old link, the dashboard shows a Not available page with the status code, the reason, and “Nothing was changed.” The reasons you can see include:

  • “An admin role is required for this action.” (status 403)
  • “You are not a member of this organization.” (status 403)
  • “That person is not a member of this organization.” (status 404)
  • “That team is not in this organization.” (status 404)
  • “That actor is not in this organization.” (status 404)

The page links back to Organization settings and Back to the dashboard.

In this section
